Terms of Service
Updated: October 22, 2026 Effective: October 22, 2026
This English translation is provided for convenience. If it differs from the Chinese version, the Chinese version prevails.
1. Acceptance
These terms are an agreement between you and Luquan District Xingchen Computer Information Services Studio (“we”) for your use of the toWord website (toword.cn) and the toword WeChat mini program (together, the “Service”). By logging in or starting to use the Service, you confirm that you have read and agree to all of these terms.
2. The Service
The Service provides academic document tools, including format conversion (Markdown to Word), Chinese-to-English paper translation, literature review, cross-references, one-click formatting and LaTeX ⇄ Word conversion. Each feature is charged in credits at the price shown on the page; credits are obtained by topping up, as described in “Top-ups & Refunds” below. One-Click Formatting can extract a style profile from a template provided by a journal or university; the template file is not stored. You may choose to contribute the extracted formatting parameters (never the template text) to the public template library, where, after our review, other users can search and use them — see the Privacy Policy below.
3. Accounts
You can log in with a phone verification code or by scanning with WeChat. You are responsible for keeping your account safe; losses caused by others using your account for reasons on your side are your own responsibility. One account shares a single credit balance across the website and the mini program.
4. Acceptable use
You agree not to upload documents or text that violate laws or regulations, infringe others’ intellectual property, or contain illegal content. You are responsible for the legality of what you upload. We may restrict or suspend accounts that break these rules.
5. Document processing and retention
The documents you upload and the text you enter are used only to complete the processing you request. Results are kept on the server for a limited time and deleted automatically when it expires, so please download and save them promptly.
6. Disclaimer
Results of machine translation, automatic formatting, literature search and review generation may contain errors or omissions and are for reference only. Please check them before use, especially the cited references. We are not liable for consequences arising from reliance on the results.
7. Changes
We may revise these terms from time to time and will publish the revised version on this page. If you do not agree with a revision, you should stop using the Service.
Privacy Policy
Updated: October 22, 2026 Effective: October 22, 2026
We understand how important your personal information is, and collect only the minimum needed to provide the features.
1. What we collect
Phone number: collected when you log in with a phone verification code, to identify you and recover your account.
WeChat account identifiers (openid / unionid): collected when you log in with WeChat or link WeChat, to identify you and let the website and mini program share one account.
Avatar and nickname (optional): collected only when you set them yourself or they come back from WeChat login, for display on the page.
Documents you upload and text you enter: including files you choose, Markdown you paste and the research description you write for literature search, used only to complete the processing you request.
Transaction records: top-up orders and credit history, used for reconciliation and to show you your spending, and retained as required by law.
Feedback (optional): when you submit feedback, we collect the text and screenshots you provide and link them to your account, used only to investigate issues, improve the Service and, once verified, refund credits to you. Please mask any personal information in screenshots that you do not wish to share before submitting.
Template formatting parameters (optional, only if you tick the box): when you upload a journal / university template to One-Click Formatting, we only extract formatting parameters such as fonts, sizes, line spacing and margins; the template file itself is not stored or kept. If you tick “Contribute this template’s formatting parameters to the public library”, we store those parameters together with the public name, description and category you enter, and after admin approval other users can search and use them. The template text, file name and comment text are never submitted or stored. This option is ticked by default and you can untick it at any time.
Essential cookies: used only to keep you logged in, never for advertising or cross-site tracking.
2. How we use it
This information is used only to provide the features of the Service, reconcile transactions and protect the security of accounts and funds. We do not use it for unrelated purposes.
3. Processing and deletion of document content
Documents you upload are used only for the current task. After processing they are kept briefly on the server so you can download the result, then deleted automatically. We never use your document content for model training or any other purpose.
Journal / university templates are likewise used only to extract formatting parameters: they are discarded right after extraction, neither split up nor archived. Only if you agree to contribute are the parameters described above (without the original text) kept.
Literature search results and generated reviews are kept on the server for 2 hours so you can reopen the page to view and download them; they are then deleted automatically and cannot be recovered.
LaTeX projects and Word documents uploaded to LaTeX ⇄ Word are kept on the server for 1 hour so you can switch templates, preview and export; they are then deleted automatically, together with any preview images. When building a PDF preview or turning TikZ figures into images, the files involved are sent to our own compile service, processed and deleted immediately, and never kept.
4. Third-party large language models
Some features of the Service rely on third-party large language models. The current provider is the DeepSeek open platform; if we change providers we will update this policy. The features involved and what is sent:
- Paper translation: the body text of your uploaded document that needs translating.
- Literature review: your research description and the bibliographic information of the papers found (title, authors, year, journal, abstract, etc., all from public academic databases). The research description is sent twice: once to extract search terms and once to write the review.
- Reference parsing in One-Click Formatting and Cross-References: the text of the reference entries in your document, to split out authors, years, titles and other fields.
- “Generate refs.bib” in LaTeX ⇄ Word: if you tick this option when converting Word to LaTeX, the text of the reference entries in your document is sent to split out the fields and build BibTeX entries; nothing is sent if you leave it unticked.
We send only the text needed for these features and never send your phone number, WeChat identifiers, nickname, avatar or other identity information; all transmission is encrypted. Processing and storage of this content by the provider is governed by its published privacy policy and terms of service.
Format conversion (Markdown to Word) and other features do not use third-party large language models. If you do not want the content above sent to a third-party model service, please do not use the corresponding features.
Translations and reviews generated by large language models may be inaccurate (for example, a paper’s findings may be summarized imperfectly); please check them before use.
5. Sharing with third parties
We do not sell or rent your personal information. To provide the following features, some information must be shared with entrusted third-party services, limited to what the feature requires:
- SMS provider: when sending a login code, your phone number is provided to the SMS provider.
- Large language model provider: for paper translation, literature review and reference parsing (including “generate refs.bib” in LaTeX ⇄ Word), the necessary text is sent over an encrypted connection to a third-party model service — see section 4.
- Public academic databases: for literature search, search terms generated from your research description are sent to public academic databases such as Crossref and OpenAlex. Search terms contain no identity information.
- WeChat Pay: when you top up, the order information is processed by WeChat Pay.
Except where required by laws and regulations or lawfully requested by judicial authorities.
6. Security
We protect your information with measures such as encrypted transmission and access control. Please understand that no internet environment is absolutely secure; we make commercially reasonable efforts to keep your information safe.
7. Your rights
You may view and correct your nickname and linked accounts on your account page. You may also delete your account — the credit balance in it will be cleared permanently and not refunded, so please be careful. To delete your account or exercise other rights, contact us as described under “Contact Us” below.
You may ask us at any time, via “Contact Us” below, to take down formatting parameters you contributed to the public template library; we will handle it after verification.
8. Minors
If you are under 18, please read this policy with your guardian and use the Service and make any top-ups only with your guardian’s consent.
Top-ups & Refunds
Updated: September 23, 2026 Effective: September 23, 2026
Please read these terms carefully before topping up, especially the refund terms.
1. Nature of credits
Credits are virtual items used to redeem document processing features within the Service, and can be used only on the toWord website and the toword mini program. Credits are not prepayments, and cannot be withdrawn, transferred or given to others, nor exchanged for cash or other equivalents.
2. Top-ups
You may top up with the plans shown on the page, at ¥1 = 100 credits, with bonus credits on some plans. Credits arrive immediately after a successful top-up and the balance syncs between the website and the mini program. If payment succeeded but credits did not arrive, please refresh the page; if they still have not arrived, contact us with the order information via “Contact Us” and we will look into it.
For top-ups made on iOS devices, because of the platform service fee, the paid portion is credited at 70% of the plan’s listed credits; bonus credits are unaffected. The amount shown on the top-up page applies.
3. Refunds
Credits are virtual goods. Once a top-up succeeds, it is not refundable unless otherwise required by law or provided in these terms.
We will handle the following cases: duplicate charges caused by our system failure will be refunded for the duplicate part; if, for reasons on our side, credits never arrive after a top-up and this cannot be fixed, the undelivered part will be refunded. Refunds go back to your original payment account.
For payments made on iOS devices that, under Apple’s rules, must be refunded by Apple, please apply through Apple’s refund channel.
4. Spending
The credit price of each feature is as shown on the page. Free features such as editing and previewing do not use credits; you are charged only when you take the finished result. Each export, copy, translation or generation is charged separately, and the page shows the credits required for you to confirm before charging. If a task fails for reasons on our side, the credits charged are refunded to your account automatically.
5. Validity
Credits you top up never expire. If the Service shuts down, we will announce it on the website and in the mini program 30 days in advance and refund the corresponding amount for unspent top-up credits in your account at the top-up rate; bonus credits are not refundable.
6. Effect of account deletion
When you delete your account, the remaining credits are cleared and will not be converted or refunded. Please make sure you have used them before deleting.
7. Disputes
Disputes arising from top-ups should be resolved through friendly negotiation; if negotiation fails, either party may bring a lawsuit before the competent people’s court of Luquan District, Shijiazhuang, Hebei Province.
